Schedule Playback Reports

Automate Reports to conveniently keep track of your Content playback.

You can schedule Reports to be generated automatically.

Playback Reports can be created for Content played back up to 60 days in the past.

Set rules to get playback data periodically and send them automatically by email to users and clients.

  1. In your OnSign account, hover over “Reports” on the side menu and select Report Hub.
  2. Click on + New Report and select the Report Type. Check out the description beside each option.

  3. In section 2 (Periodicity), you not only define the data range for the playback events, but also when and how often you want to receive the report.
You can get a single Report instantly or schedule Reports to be created when you want them to.
  • If you wish to generate a single Report in this instance, the correct tab on the left is already selected. Simply choose the date range to be covered in the Report. Then, go to the next page with the orange “Next” button on the bottom-right of the page.

  1. There are two different ways to schedule a report, by Rule or by Date.
  • Add Rule: With a rule, you generate Reports with the same parameters at a regular frequency, e.g. daily, weekly, or monthly.
First, select the frequency and the timing within this frequency. For example for a weekly report, select the day of the week when the report shall be generated.
Then, select for how long you want the scheduled reports to keep going, either until a specific date or for how many repetitions.

  • Add Date: With a date, you generate a single scheduled Report on a specific date.

  1. Select at what time on the scheduled dates the Report shall be generated.

  2. Select the Report Period covered by the Report. The report will contain the playback data from the most recent days, weeks, or months leading up to the day of the report, the day of the report not being included.
You can collect Content playback data of up to the past 2 months.

  3. Optionally, choose a Period Offset to have the Report start and end a certain amount of days prior to the day when it is going to be generated. Let's explain this in an example.
You generate the Report on the 5th of each month, but you want to cover only the previous month as a whole. Set 5 as the Offset so the beginning of the current month won’t be included in this Report.
In practice, there is good reason to wait a few days after the reporting period ends before generating the report. Players sometimes go offline for short periods. While offline, they keep playing content and recording what was played. Once they reconnect, they send this playback data to the server. Waiting a few days gives all Players time to reconnect and send their data, so your report is more complete.
  4. When you have completed scheduling your report, click on Next.
  5. In section 3 (Options), you choose the settings for the Report itself. The following steps are the same for single as for scheduled reports:
  • Players: Select the Players to include. Leave blank to include all Players.
  • Content: Select the Content to analyze. Leave blank to include all Content.
  1. At last in section 3, define the Report Format.
Depending on the chosen Report Type, the report can be generated as HTML, PDF, Excel spreadsheet, CSV, or JSON. Very large reports can't be generated in PDF format. In such a case, it is better to use CSV, Excel spreadsheet, or HTML.

  2. There are some more options you can fill out to customize the Report.
  3. When you have completed configuring your report, click on Next.
  4. In section 4 (Save), give the Report a Name and determine who will receive Notification by Email to download the file. The email doesn’t need to be associated with your OnSign account. Set as many notification emails as you wish.
  5. Finish by clicking Save at the bottom.
  6. View all scheduled Reports in the Report Hub. You can filter the overview to see All, only Recurring, or only One-time Reports.
Scrolling to the right, there is a lot of information at a glance.

  7. The column Last Run shows you if a Report has already been generated. Once the first Report is generated, the column Options will have an icon to download the Report. If you configured the Report to be saved in a specific folder in section 4 (Save), you will also find your created Reports there.

  8. Besides download, the column Options has two other icons, edit and delete. Edit the scheduled Report if you want the next runs of the Report to be slightly different or to review the settings. In one-time Reports, there is an add copy icon instead of the edit icon.
